JotMind Privacy Policy

This Privacy Policy explains how Sanbit Technology (Beijing) Co., Ltd (“Sanbit,” “we,” “us,” or “our”) handles information when you use the JotMind app for iOS or Android.

1. Your content stays on your device

JotMind stores and processes microphone recordings, transcripts, text you enter, Notes, titles, organized Markdown, edits, and its keyword-search index only on your device. Search terms are processed locally and are not saved after each search.

We do not receive this content. JotMind has no user account, content server, cloud sync, or remote AI processing. On Android, JotMind disables system backup for all app data. On iOS, your own iPhone or computer backup settings determine whether JotMind content is included; replaceable AI model files are excluded.

Capture, transcription, organizing, playback, and keyword search continue even in Airplane Mode. Purchases, subscription restoration, and external links still require a connection.

2. Analytics not linked to your identity

JotMind uses Firebase Analytics only for aggregate feature-use and reliability statistics. It is not linked to your identity: JotMind has no account or Firebase User ID, and a random installation identifier only groups events from the same installation for statistical trends. We never join it with your name, email address, RevenueCat identifier, or content. Events may include a feature name, timing, app, version, device context, approximate region, and app-store purchase status; never recordings, transcripts, Note text or titles, search terms, filenames, Note or Capture identifiers, or free-form text. Advertising identifiers, precise location, ad features, cross-app tracking, crash reporting, session replay, and BigQuery export are disabled. Firebase retention is two months.

3. Purchases and subscriptions

Apple handles App Store purchases and Google handles Google Play purchases, including payments, refunds, and subscriptions. We never see your payment method or billing details.

JotMind uses RevenueCat to retrieve subscription offerings and determine whether this device has an active entitlement. RevenueCat receives a random app-user identifier, entitlement and store transaction status, store and storefront, and device or vendor metadata required by its SDK. It never receives your recordings, transcripts, or Notes. JotMind keeps RevenueCat and Firebase identifiers separate and never joins them.

4. Content leaves only when you choose

When you deliberately export Markdown, share a Note, use the system share sheet, or contact support, only the information you choose goes to the destination you choose. That destination handles it under its own privacy practices.

If you email us, we receive your email address and message and keep them only as long as needed for your request or necessary records. JotMind does not automatically attach app content or analytics identifiers to support email.

5. Permissions and network access

• Microphone: used only while you record in the foreground.
• Internet: used for the limited analytics and subscription services above, and when you choose to open a legal, app-store, acknowledgement, or support link.

JotMind does not request Calendar, Reminders, Contacts, Photos, notification, background-audio, local-network, or advertising permissions.

6. Your choices, retention, and rights

Deleted items stay in Recently Deleted for 30 days before automatic removal, including their audio; you can delete them permanently sooner. You can export selected content at any time. Removing JotMind deletes its local data and stops future analytics from that installation.

You may contact us to request access, deletion, correction, restriction, objection, or portability where applicable. Because JotMind does not link an installation identifier to contact information, we may be unable to locate one installation from an email alone; we will explain what can be verified and completed. We normally respond to verified requests within one month.

We do not sell personal information, share it for cross-context behavioral advertising, use it for targeted advertising, or profile you using your content. You may also complain to the applicable data-protection authority.

7. Legal bases and service providers

Where permitted, we process the limited analytics above for our legitimate interests in improving JotMind and its reliability, balanced by excluding user content and not linking analytics to your identity. Purchase, entitlement, export, sharing, and support information is processed as needed to provide the feature you request or perform our agreement with you.

Google and RevenueCat process limited data for us under protections equivalent to this policy; Apple processes App Store purchases and Google processes Google Play purchases under their own privacy policies. They may process data outside your country or region. We use contractual or legal safeguards, including standard contractual clauses, where required.

8. Children, security, and changes

JotMind is not directed to children under 13, and we do not knowingly collect personal information from children.

JotMind stores content in the private app area assigned by iOS or Android, sends outbound requests over HTTPS, limits product events to a fixed allowlist, and is distributed signed through the App Store or Google Play. No storage or transmission method is completely secure. We may update this policy as JotMind changes; the date above shows the latest revision.
